Zoom integration guide

Last updated: October 24, 2026

Waco3's scheduler lets your clients book time with you through a public booking link. With Zoom connected, every booking automatically gets its own Zoom meeting, and the join link is sent to your guest in the confirmation email.

Before you start

  • A Waco3 account on a plan that includes the scheduler.
  • A Zoom account (any plan). Meetings are created in the Zoom account you connect.

Adding the app

Waco3 is where you connect Zoom: you need a Waco3 account first. The buttons above take you there (create an account first if you are new) and open the Zoom settings once you are signed in.

  1. Sign in to app.waco3.io and open Scheduler.
  2. Open Settings and find the Zoom card, or pick Zoom as the location in the Meeting step of a booking link.
  3. Click Connect Zoom. Zoom opens in a new tab.
  4. Sign in to Zoom if asked, review the permissions, and click Allow.
  5. You're sent back to Waco3, which shows Connected as your Zoom email address.

Using the app

  1. In a booking link, choose Zoom as the meeting location and publish the link.
  2. When someone books, Waco3 creates a new Zoom meeting for that booking only, with the waiting room on and join before host off, so nobody can start the meeting without you.
  3. The join link goes into the guest's confirmation email and calendar invite.
  4. If the booking is rescheduled, the Zoom meeting moves with it. If it's cancelled, the Zoom meeting is deleted.

Use Check access in the Meeting step at any time to confirm Waco3 can still create meetings for you.

Removing the app

From Waco3: open Scheduler → Settings and click Disconnect Zoom. Waco3 revokes its access with Zoom and deletes the stored connection right away.

From Zoom: sign in to the Zoom App Marketplace, go to Manage → Added Apps, find Waco3.io and click Remove. Zoom notifies Waco3, and we delete your stored Zoom connection and tokens right away.

Either way, new bookings stop getting a Zoom link: booking links set to Zoom show a "Connect Zoom" warning until you reconnect or pick another location. Meetings that were already created stay in your Zoom account, and you can delete them in Zoom.

What Waco3 can access

Waco3 asks for the smallest set of Zoom permissions the scheduler needs:

  • meeting:write:meeting: create a meeting when someone books.
  • meeting:update:meeting: move that meeting when the booking is rescheduled.
  • meeting:delete:meeting: delete that meeting when the booking is cancelled.
  • user:read:user: read your Zoom name and email address, so Waco3 can show which Zoom account is connected.

Waco3 does not read your other meetings, recordings, chats, contacts or account settings.

What data we store

  • Your Zoom user ID and email address.
  • The access and refresh tokens Zoom issues, encrypted at rest.
  • For each booking, the ID and join link of the Zoom meeting created for it.

Disconnecting deletes the tokens and connection immediately. For more, see our Privacy Policy.

Troubleshooting

  • "Zoom needs reconnecting": the access was removed in Zoom or has expired. Click Reconnect.
  • A booking has no Zoom link: run Check access in the Meeting step, then reconnect if asked.
  • Still stuck? Email [email protected] or see our Support page.
